Before you start: reply detection must be ON in Sending Setup – see SMTP setup, step 6.
1Understand how replies are found
NexlyFlow checks your connected mailbox every few minutes. When a lead replies, that lead appears in Pipeline with the reply text attached.
Why this matters. Replies are the only metric that turns into revenue – catching them automatically means none are lost in a busy inbox.
Expected result. Replying leads show up in Pipeline within minutes.
If it fails. Nothing appearing? Reply detection is off or its inbox test failed – toggle it in Sending Setup and watch for the live test result.
2Open the Pipeline board
Click Pipeline in the left menu. Leads are grouped by stage so you can see what needs attention.
Why this matters. A stage board makes the next action obvious, instead of leaving warm leads sitting in an inbox.
Expected result. You see your leads grouped into stages.
If it fails.
3Act on a suggestion
When a suggestion card appears – for example a proposal to move a replying lead forward – click it to accept, or dismiss it with the X.
Why this matters. Suggestions come from what actually happened (a reply arrived), so accepting them keeps the board honest with one click.
Expected result. The lead moves to the suggested stage.
If it fails.
4Move a lead yourself
Drag a card to another stage, or use the buttons on the card.
Why this matters. Your judgement beats any rule – a lead who said “call me in March” belongs where you decide.
Expected result. The card sits in the stage you chose.
If it fails.
5Open a lead history
Click a card to see everything: every email sent to that lead and every reply received.
Why this matters. Context before you reply prevents the embarrassing repeat pitch to someone already in conversation with you.
Expected result. The full thread for that lead is visible.
If it fails.
6Read campaign results
Each campaign card shows sent, delivered, opened, clicked and replied. Reports shows the funnel across campaigns.
Why this matters. Comparing campaigns is how you learn which message works – one campaign in isolation tells you almost nothing.
Expected result. You can compare campaigns side by side.
If it fails.
7Understand bounced and failed emails
Bounced addresses are marked automatically and are not retried.
Why this matters. A high bounce rate signals list quality problems and damages sender reputation, so it deserves action rather than a shrug.
Expected result. Bounces are visible in the campaign figures.
If it fails. Bounce rate climbing: stop, check where the data came from, and send only to verified, recent contacts.
8Use the numbers to adjust
Low open rate points at the subject line or deliverability. Good opens with no replies points at the message body or targeting. High bounces point at data quality.
Why this matters. Each metric points at a different fix – matching the symptom to the cause saves weeks of guessing.
Expected result. Your next campaign changes one thing deliberately.
